In order to be able to send an SMS confirming appointments, appointment reminders and any commercial communications to customers, it is essential to obtain their consent to the processing of personal data.

The booking service offered by the salon also involves the collection of data and, therefore, it is necessary that the customer has clearly accepted and understood the conditions in accordance with the provisions of the GDPR (the EC Regulation on the protection of personal data).

There are two ways in Treatwell Pro to indicate that consent has been obtained from customers:

  1. From the calendar

  2. From the client list

In order to obtain consent and send communications, you must ensure that you have collected the customer's contact details, such as e-mail address and telephone number. These can be requested when creating a new appointment in the calendar or by updating the customer details in the client list at a later time.

If, on the other hand, the customer uses the app or the web version of Treatwell to book an appointment, they will need to enter their contact details (particularly their email and telephone number) and can then tick the option to consent to receive communications from the salon before proceeding with their payment.

From the calendar

When creating an appointment in the calendar, Treatwell Pro immediately signals with a red message if a customer (new or already in the customer list) has not given their consent to data processing. By clicking on the appointment form, the notice is displayed above the customer's name.

To make the request, simply click on the letter "i" next to the name and then on the red bar at the bottom. You will then be redirected to send the authorisation request.

In addition to consent to data processing, it is possible to request consent for sending useful communications including:

  • service communications (by sms and/or email);

  • marketing and promotions (by sms and/or email);

  • personalised suggestions.

Once consent has been obtained, it is possible to activate the "Data processing consent" box on the customer's profile. The customer may request the modification of their preferences at any time.

The various cases

  • If no preference is entered in the customer details, Treatwell Pro will still send the confirmation and reminder SMS;

  • If the customer decides to be contacted only by email, they will not receive any SMS;

  • If the customer decides to be contacted using both methods, they will receive both SMS and email.

NB: To send the consent form for the processing of personal data, click on the "Send Data Consent Form" button. You need to make sure you have enough credits in your account in order to do this.

From the client list

By entering the Client List section from the Treatwell Pro side menu, you can enter or update your consent on the "Consent & Privacy" tab on each contact page.

Meaning of the Consent & Privacy options

As already specified, the customer can decide the methods and reasons for which to be contacted. Each option included in the request allows the salon to send specific communications:

  • Data processing consent: The customer who gives the ok to the processing authorises receiving:

    • Appointment confirmations

    • Appointment reminders

    • Cancellation notifications

    • Review Requests

  • Appointment updates: by activating this option, the customer agrees to receive all updates relating to their appointment, including reminders and cancellations (by sms, email or both).

  • Marketing and promotions: by accepting this request, the interested customer can receive any promotional newsletters (by sms, by mail or both).

  • Personalised suggestions: By activating this option, the customer who accepts the treatment can receive personalised promotional communications based on the treatments and products previously purchased.
